Manually Force the Update

All VOAUT staff are required to use the same signature template. It must be set up individually on computers and mobile devices. It looks like this:

Set Up Signature and Add to Outlook

1. CLICK HERE to set up your signature info on the Dynasend website:

2. Select a Template from the dropdown menu based on your VOAUT location.

3. Enter your VOAUT email address into the required field and click NEXT

You’ll receive a verification link via email to verify it’s really you.

4. Click the link, which sends you to a page displaying your current signature. Verify your name, phone numbers, title, and more:

Notice there’s a field to enter your pronouns. Some examples of pronouns include:

  • she/her
  • he/him
  • they/them

There are other options, but these are the most commonly used. Including your pronouns helps normalize it for everyone, including trans and gender diverse coworkers, clients, and other associates. This is another step VOAUT is taking toward greater diversity, equity, and inclusion.

6. Once everything looks right, click SAVE & CONTINUE

Your signature should automatically update after restarting your computer, or after a few hours. If your signature does not update, scroll down this page to the section called "Manually Force the Update."

If you are using the Outlook web client in a browser, see the next section. 

Add to Outlook in Web Browser

1. Make sure you've already set up your signature template in Dynasend by following steps 1 through 6 here

2. Log into your Outlook in your Web Browser (outlook.office.com).

3. Click the Settings button in the upper right toolbar next to your profile icon. It looks like a gear.

4. Make sure the Mail tab is selected in the Settings menu on the left. (See image below.)

5. Click “Compose and reply” to open the Email signature settings.

6. Type a name for your new email signature, such as “Work.”

7. Copy/Paste your email signature from the Dynasend website.

8. Select the “Work” option from the dropdown menus “For New Messages” and “For Relies/Forwards.”

9. Click Save.

Add to iPhone Mail App

    1. Click here to create the phone signature template. (You may have to scroll down a bit.)

    2. Enter your email address and tap “Click to Display Signature.

    3. Your signature template will appear. Select all and tap “copy.”

    4. Open your iPhone Settings and select Mail.

    5. Scroll down to “Composing” and select “Signature.”

    6. Paste the signature into the box.

    7. Tap “Mail” to back out or close Settings. You’re all set!

    Add to Mobile Outlook App

    1. Click here to create the phone signature template. (You may have to scroll down a bit.)

    2. Enter your email address and tap “Click to Display Signature.”

    3. Your signature template will appear. Select all and tap “copy.”

    4. Open your Outlook app and tap your profile button in the top right.

    5. Tap the “Settings” icon in the bottom left of the app.

    6. Tap on “Signature.”

    7. Paste your signature in the box. Tape the Back arrow and go back to your Inbox. You’re all set!

      Manually Force the Update

      If you followed the steps above but your signature has not updated, try restarting your computer. 

      If your signature is still not updating, try these steps:

       1. Make sure the DYNASEND program is installed on your computer. On a PC, click the Windows start button and scroll to find Dynasend's Signature Deployment Tool

      2. If it is not installed, download and install it here

      3. Open the Dynasend program and click "Download Your Signature Now." Then click "Save and Exit.
